Job Description
The Graduate Student Specialist III, provides specialized skills for supporting graduate student progress to degree; provides guidance to/or refers graduate students/faculty/staff on various aspects of graduate degree evaluations, official University forms, and Office of Graduate and Professional Studies processes and policies; and, provides and/or refers graduate students, faculty, and staff to graduate degree-related training and resources. This position serves in a primary customer service role for all graduate students, faculty, and other campus visitors to the Office of Graduate and Professional Studies. The graduate student specialist III ensures front desk and phone coverage during regular office hours and works collaboratively with all teams in OGAPS to provide accurate and up-to-date information for all inquiries.
Required Education and Experience:
- Bachelor’s degree or equivalent combination of education and experience.
Required Knowledge, Skills, and Abilities:
- Excellent oral and written communication skills.
- Ability to multi-task and work cooperatively with others.
Preferred Education and Experience:
- Texas A&M University experience with working knowledge of Compass.
Preferred Knowledge, Skills, and Abilities:
- Knowledge of TAMUS Policies and Regulations and Texas A&M University Rules.
Salary Range: $30,212.00 – $38,833.60
Responsibilities:
- Serves as a senior information resource for the front office support for OGAPS. Responds to non-routine and complex information requests and inquiries. Uses independent judgement to resolve customer complaints, questions, and problems. Escalates issues to a higher level graduate student specialist or management when necessary and appropriate. Maintains an extensive knowledge of University procedures, deadlines, and other requirements.
- Ensures compliance with University graduate student policies and procedures and OGAPS graduate student forms. Interacts effectively with a diverse population of students, faculty, and staff. Provides thorough and accurate guidance to students, faculty, and staff based upon knowledge of University graduate student policies and procedures, or refers inquiries to the appropriate unit or individual.
- Provides and/or refers graduate students and the graduate advising community to training and resources. Attends weekly meetings and may assists with/lead various team projects for the Support Services Team. Coordinates weekly office supply orders, assists with maintenance and other related work requests, and may assist with calendaring for OGAPS space. Oversees OGAPS general email box.
- Scans, verifies, and links received documents/forms to the appropriate workflow.
- Coordinates the staffing efforts and supervises the student worker employees for OGAPS. This includes scheduling to ensure constant coverage of the front desk area, cleaning of OGAPS kitchen, supply area, work area, and other common spaces.
- Serves as the main training resource for all student workers and provides semester meeting times for continued training and review of office policies and procedures. Coordinates as needed with other teams for student worker tasks.
- Serves as a liaison between Support Services and the Records Processing team. Engages in staff meetings and other initiatives for both teams. Assists management by identifying and raising awareness of potential problems and inefficiencies and by offering innovative ideas and solutions. Coordinates and disseminates information to staff as necessary to facilitate better communication and more efficient workflow and productivity.
- Interprets, applies, and communicates University graduate student policies and procedures, including policies which relate to thesis and dissertation services and serves as a resource for such.
- Participates in cross-functional teams to carry out the larger mission of the Office of Graduate and Professional Studies and to accomplish strategic goals. For example, serves as a member of the Social Media Committee, attends committee meetings, and produces the regular social media content of OGAPS. May represent OGAPS on internal or external committees. Performs other duties as assigned.

Minimum Education and Experience |
AA degree, preferably in the field of Early Childhood Education of Child Development from an accredited public or private institution of higher education. Child Development Associate (CDA) credential for Preschool Caregivers required or an equivalent credential that addresses comparable competencies; or must obtain the credential within one year of employment as a Classroom Assistant II. |

Must have (or be willing to obtain) training and experience necessary to develop consistent, stable, and supportive relationships with very young children. Ability to work as part of a multi-program/disciplinary team in providing a variety of services to children and families. Experience working with children from low income families. Valid First Aid/CPR card, food handler’s card, negative TB test, and clear criminal background check required. |
